PTW is seeking a highly skilled Executive Assistant to join our team and support our Chief Executive Officer. As an Executive Assistant, you will be responsible for enabling our Chief Executive to focus completely on their work. The ideal candidate will possess strong written and verbal communication, administrative, and organizational skills, exercise good judgment in a variety of situations, and maintain a realistic balance among multiple priorities.

The role is hybrid and requires someone to work 2-3 days in the office and 2 days remotely, exemplary time management skills and the ability to identify and anticipate the Executive's needs. The successful candidate will have the ability to work independently on projects, handle a wide variety of activities and confidential matters with discretion, and perform their job successfully by interacting seamlessly and with a professional demeanour across a broad range of individuals, including members of the Senior Management Team, Board of Directors, and leaders that report to the Executive.

As an Executive Assistant, you will be attending meetings with our highest level of executives, and therefore must be able to function well within this environment. You will handle highly sensitive and confidential information with professionalism and discretion.

Roles and Responsibilities

  • Provide comprehensive administrative support to the Chief Executive, including managing an active calendar, preparing expense reports, composing, and preparing confidential correspondence, and making complex travel arrangements.

  • Serve as a "Gatekeeper" and "gateway" to the Executive, managing their schedule and creating win-win situations for direct access to their time and office.

  • Represent the Executive professionally in all internal and external interactions, maintaining strong relationships with partners and stakeholders.
  • Act as a liaison between the Executive and internal departments, ensuring smooth communication and demonstrating strong leadership skills to maintain credibility and trust.
  • Keep the Executive well-informed of upcoming commitments and responsibilities, following up appropriately and prioritizing conflicting needs.
  • Proactively provide seamless support to the Executive, anticipating needs and responding to them promptly.

  • Assist with personal errands related to the CEO and their family as directed by the CEO, ensuring that all tasks are executed promptly, discreetly, and with the utmost professionalism.

  • Conduct special research or planning projects and respond to general inquiries to the CEO.
  • Manage sensitive information with good judgment, discretion, and absolute confidentiality.
  • Create and review agendas before meetings, take notes, distribute meeting minutes and presentations, and track action items to ensure successful completion.
  • Collaborate closely with the Office of the CEO and other executives to ensure alignment.

  • Provide administrative support to the Livingston office, managing logistics of external staff and supporting on-site functions, including upkeep and maintenance of corporate assets such as the company's car.

  • Coordinate logistics for the CEO's office by providing on-site support when needed, including off-sites, industry events, and conferences with some travel required.

  • Local candidates in or near Medford, Oregon are required as this is a hybrid role with 2-3 days of working in the office.
  • Candidates experienced working for the gaming industry are highly preferred but not required.
  • Education and Experience Requirements

  • Hold a Bachelor's degree or equivalent education and work experience.
  • Possess a strong work tenure, with a minimum of two to five years of experience supporting a CEO or an executive at an equivalent level.
  • Be proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint, as well as online collaboration tools.
